The purpose of this document is to record some of our procedures, mostly so we don't leave out one or two steps by accident.

Starting the Process

The first thing to do when we receive an application is to add it to application_status.txt (in the gnome-foundation CVS module). Make sure to use an editor that can read and write UTF-8 as this file is UTF-8 encoded.

The format of the file is explained in its header.

Reviewing Applications

You can do this by contacting other contributors they cite and/or by checking CVS ChangeLog's.

If you contact other contributors, you can use the "request information" form letter.

Discussions about applications on the membership committee mailing list is also encouraged.

Reviewing an application should not last more than a month if possible, so the applicant can know as soon as possible the determination.

Acting on the Determination

No need to renew

If the applications is a renewal but the applicant doesn't need to renew:

  1. Record this in CVS in application_status.txt

  2. Send the applicant the "no need to renew form" letter. Make sure to fill in the missing data in the form.

Accepting/Renewing

If you accept or renew a candidate:

  1. Record this in CVS in application_status.txt

  2. Add them to the membership list in CVS at membership_new.txt. The format of the file is explained in its header.

  3. Put their application in CVS in the approved directory. Use their name as the file name.

  4. Put any comments on what you found at the bottom of the application in this file, along with your name, email address, and the date.
  5. Subscribe them to foundation-announce. If you don't have priveleges to do this, ask somebody else to do it.

  6. Send them the "accepted" form letter or the "renewed" form letter, as appropriate. Make sure to fill in the missing data in the form.

Denying

If you deny a candidate:

  1. Record this in CVS in application_status.txt

  2. Put their application in CVS in rejected directory. Use their name as the file name.

  3. Put any comments on what you found at the bottom of the application in this file, along with your name, email address, and the date.
  4. Send them the "denied" form letter. Make sure to fill in the missing data in the form.
