Visa letters and FFKP

  • Chris said his student organization could sign letters, if needed.
  • Another alternative would be for FFKP to sign the letters.
  • ACTION: Jeremiah to investigate if it would be worth working with an accountant.
  • ACTION: Oliver to translate and send FFKP's terms to guadec-list.

Acommodation

  • Skyman will be responsible for that.
  • Slottskogen Vandragem is a good hostel close to the venue.
  • FSCONS also has a list of places in their site, worth checking.
  • ACTION: Fabiana and Andreas to send more details about lodging to Skyman.
  • ACTION: Michael to check if it would be possible to work something out with the student housing.
  • ACTION: Oliver to check the possibilities at Hvitfeldska.

Venue

  • Humanisten: the renovation probably won't happen but the location might still not be available.
  • ACTION: Oliver to check with Leif Göran how things are going with Humanisten.

  • BoFs: we will probably use different small locations across the city.

    • There's a chance we might be able to work it out with the IT University. Oliver is in touch with them.
    • For the IT University, we need to find a professor at Chalmers or Göteborg University that would be willing to attend and supervise the conference.
      • ACTION: Chris to talk with Henrik Sandklef and see if he would be willing to help.
      • ACTION: Oliver to send details to Chris so he can get in touch with Henrik.
    • ACTION: Michael to see if it's possible to use some of rooms in Lindholmen.
  • Pelagicore might be able to host the Board and Adboard meetings.
    • ACTION: Jeremiah will see if that's possible.
    • ACTION: Fabiana will check the dates with the Board.

Social Events

  • Let's aim for 2 events (one for registration and one on Saturday evening). If we have time, we can try and plan a third one.
  • Slottskogen would be a nice place for a picnic.
  • Oliver suggested a tour in Kviberg that he would be willing to lead.
  • Jeremiah mentioned the botanical garden and a ferry trip to one of the islands.
  • The downside of both Oliver's and Jeremiah's suggestions would be transportation.
  • ACTION: everyone should try and think of more concrete proposals for events.
    • These should include where, when, cost, etc.
    • Events have to be in the evening.
    • Events should be inclusive to those that don't drink alcohol.
  • Chris volunteered to make a conference app with information on talks and events. So cool!

Sponsors

  • Oliver reached out to Ericsson and PurpleScout. No replies.

  • Michael organizes a meetup for companies. It would be good for us to attend it.
    • ACTION: Michael to let the team know when the next meetup will be.
  • Oliver and Karen have talked to Endless. Not looking promising.
  • Andreas will lead the things related to Sponsors.
    • ACTION: Andreas to reach out to sponsors in the list.
    • ACTION: everyone reach out to Andreas before reaching out to other sponsors.

  • Oliver thinks sponsors could be more prominent on the site.

Keynotes

  • We came up with a list of people we'd like to invite.
  • ACTION: Fabiana to reach out to the Board about the list.
  • ACTION: Fabiana to reach out to the people on the list.

Code of Conduct

  • ACTION: Everyone should read the code of conduct and see if they're OK with it as it is.
